What are ASL Interpreter Collaborative, LLC's Policies?

Service Agreement:

AIC establishes service agreements with all requesting clients. If your organization utilizes State contracts, purchase orders, or memoranda of understanding AIC will provide necessary information and make every effort to provide applicable documentation required by your organization.

Submitting a request:

In order to create a successful encounter, AIC needs certain basic information, and often additional information specific to your encounter to secure an interpreter that will be a good linguistic fit. Basic information includes:
- names of all people involved in the encounter
- date, time and location of the encounter
- parking or badging requirements
- an onsite contact person
- expected duration of encounter
- what is the purpose of the encounter

Based on the provided information, AIC will determine how many interpreters are needed for your encounter. Within the interpreting profession it is extremely common for interpreters to work in teams to avoid overuse injuries, and to ensure a high quality interpretation over long periods of time due to mental fatigue.

General Billing Information:

- Services are billed per interpreter at an hourly rate which is affected by the day and time of the encounter. There is a 2 hour minimum for both in person and Video Remote Interpreting.
- Mileage is calculated from the interpreter's home base to the requested location. If the distance is less that 20 miles one way, no fee for mileage will be assessed. If the interpreter travels more than 20 miles, the total amount will be paid at the federal rate. (January 1, 2026- $0.725/mile)
- Any parking fees incurred by the interpreter will be paid by the consumer.
- If the interpreter travels 60 miles or more from their home base to the encounter, an additional fee for their travel time (sometimes called a portal to portal fee) will be assessed.
- If a request is made with less than 24 hours notice, an emergency fee will be assessed. This fee does not apply to emergency medical situations or employment interviews.
- All recorded encounters should be discussed in advance to determine an appropriate fee based on the type of encounter and purpose of recording. An interpreter reserves the right to refuse to have their work recorded. To avoid inconvenient delays, please be sure to communicate with AIC about potential recordings at the time the request is made.
- In the event that an encounter continues beyond the scheduled time, the corresponding rate will be billed in 15 minute increments. Be aware that interpreters may have other scheduled assignments and may not be available to stay for the extended time period. We would be happy to help schedule a follow up encounter.
